From intake to placement,
step by step.

Rivea is an account-based referral platform for NDIS support coordinators and allied-health providers. Coordinators submit referrals inside their workspace, Rivea shows providers that meet the current eligibility rules, and providers respond from a workspace of their own. Participant information starts at structured triage. Full details reach only the selected provider after a separate, explicit disclosure-authority confirmation.

A coordinator raises a referral

Referrals are created inside your organisation's workspace, never by email or an open form. Intake records who holds authority for the referral (the participant, a plan nominee, a guardian, or a supported decision-making arrangement) and confirms consent, with the wording and time kept on the record. Drafts save as you go.

The coordinator reviews eligible providers

Rivea is for planned, non-emergency referrals, not urgent or crisis needs. For an eligible referral, Rivea shows providers that are approved, active and receiving referrals, with the requested service and area plus current available capacity. The support coordinator chooses whom to contact.

Eligibility, not ranking

Eligibility is a current rules check, not a recommendation: provider approval and activation, whether the practice is receiving referrals, the requested service and service area, and available capacity confirmed within the last 14 days. Eligible providers are listed by clinic name. The coordinator makes the routing decision.

Providers respond from their own workspace

When a coordinator contacts a provider, Rivea records the request and queues a notification; delivery status is tracked separately. The email itself carries no participant information. The provider signs in and sees structured triage only, then responds once: accept, offer a waitlist with an honest estimate, or decline with a reason.

The participant directs the choice

When providers can take the referral, the options go back to the coordinator. The record captures how the choice was directed: the participant chose from the options, asked the coordinator to shortlist, a nominee or guardian directed it, or it was made through supported decision-making. Rivea never selects a provider automatically.

The loop is closed

Selection does not disclose full details by itself. The coordinator separately confirms their authority and the exact fields and documents approved for disclosure. Rivea records an immutable snapshot before the selected provider receives full access. Other providers' access ends and notifications are queued with delivery tracked separately. Withdrawal revokes every contacted provider's access.

Each contacted provider receives the same structured triage allowlist. Selection and disclosure are separate decisions. The coordinator must confirm authority and the exact fields and documents approved before Rivea records an immutable snapshot and grants the selected provider full access.

Held back: No names, free text, date of birth, NDIS number, contact details, exact location, filenames, document metadata or document bytes.

Shared: Full name, date of birth, NDIS number, participant contact details, intake information, approved documents, and coordinator contact details, exchanged both ways.

Held back: Shared only after the participant's choice and a separate disclosure-authority confirmation record who confirmed it, when, how, and the exact fields and documents approved. Non-selected providers never reach this stage.

Clear boundaries

What Rivea is not.

Not a marketplace

Providers don't bid for referrals and there are no placement commissions. A referral goes to providers because it fits, not because anyone paid.

Not a public directory

Referral information is never published or browsable. It moves between the organisations involved, inside signed-in workspaces.

Not a recommendation engine

Rivea applies the same eligibility rules to every provider and lists the results by clinic name. It does not rank providers, label anyone the “best”, or choose on the coordinator's behalf.

Not an urgent-placement service

Rivea is for planned, non-emergency referrals. Do not use it for urgent or crisis needs; use the appropriate urgent pathway instead.

Accountability

Built into the record.

  • Referral information is reachable only through signed-in accounts. There are no links that open participant information without signing in.
  • Emails never contain participant information. They say something is waiting and land on the sign-in screen; a referral is only ever referenced by its code (for example RIV-2K7Q3M).
  • Provider contact, response, selection, disclosure and revocation decisions produce audit evidence.
  • Each workspace currently has one owner. Team access remains disabled until a later release.
  • A Rivea administrator must activate each provider workspace. Any business identity (ABN) and registration checks performed are recorded with their dates; they are not an endorsement.
